Job Description

We are seeking an energetic, highly organised, and proactive Operational Support Officer to support our Executive Principal, School Leadership Teams, and campuses across the network as The BUSY Schools expand into the Southeastern states. This is a diverse and rewarding role where no two days are the same. From executive support and project coordination to recruitment, administration, training, communications, and marketing support, you'll play a critical role in keeping our schools operating at their best.

About the Role

Reporting to the Executive Principal, the Operational Support Officer provides critical operational and executive support across The BUSY Schools network. This role works closely with school leaders and campus teams to ensure seamless operations, effective communication, successful project delivery, and high-quality administrative support. The role involves:

Executive & Leadership Support

  • Provide proactive support to the Executive Principal and School Leadership Teams.
  • Coordinate meetings, prepare correspondence, organise resources, and manage schedules and calendars.
  • Assist with administrative and project-related activities across the network.

Project Coordination

  • Coordinate and monitor key projects and initiatives.
  • Track actions, deadlines, and outcomes to ensure successful delivery.
  • Support planning processes and continuous improvement initiatives.

Administration & Communication

  • Manage incoming phone enquiries and administration email inboxes.
  • Ensure enquiries are responded to promptly and professionally.
  • Act as a key liaison between campuses and various BUSY Group departments.

Campus Support

  • Provide training and ongoing support to Campus Administration Officers.
  • Develop procedures, guides, and training resources to promote consistency and best practice.
  • Provide on-site support across campuses when required.

Stakeholder Engagement

  • Build productive relationships with internal and external stakeholders.
  • Partner closely with HR, IT, Marketing, Business Support, and other BUSY Group teams.

Marketing & Systems Support

  • Assist with marketing campaigns, events, promotional materials, and website updates.
  • Maintain and manage SharePoint and online document management systems.
  • Ensure resources are organised, accessible, and appropriately governed.

Desired Skills and Experience

About You

You are a highly organised professional who enjoys juggling multiple priorities while maintaining exceptional attention to detail. You are confident working with senior leaders, naturally collaborative, and passionate about delivering outstanding support.

To be successful, you will have:

  • Minimum 2-3 years' experience in a similar executive support, operational support, administration, or coordination role.
  • Strong project coordination and organisational skills.
  • Excellent written and verbal communication abilities.
  • Demonstrated problem-solving and analytical capability.
  • Experience maintaining confidential information with professionalism and integrity.
  • Experience using corporate information management systems and Microsoft 365 applications, including SharePoint.
  • Ability to work autonomously while also contributing effectively within a team environment.
  • Strong stakeholder management skills and the ability to build positive working relationships across multiple locations.

Essential Requirements

  • Qualification in a relevant discipline.
  • Current Working with Vulnerable People Clearance (or ability to obtain).
  • National Police Check (or ability to obtain).
  • Current Driver's Licence and willingness to travel between campuses as required.
